Export a Report to Excel

  1. After you run the report, click the Select a format down arrow and select Excel.

  2. Click Export.
  3. On the File Download window, click the Save button. (Do not click the Open button.)
  4. If desired, change the save to location. 
  5.  Click the Save button.
  6. On the Download complete window, click the Close button. (Do not click the Open or Open Folder button.)

IMPORTANT! If you want to sort the report or use it for a mail merge after you export it to Excel, then you will need to remove the formatting, delete any rows that appear above the column titles, and delete any blank columns, and unmerge any merged cells. Export a Report to a CSV File

Exporting a report to a CSV file is a three-step process. First, you export the report and save the CVS file to your computer. Second, you import the data from the CSV file into Excel. Third, you save the data in Excel format.

Step 1: Export the report and save the CSV file to your computer.

  1. After you run the report, click the Select a format down arrow and select CSV (comma delimited).

  2. On the File Download window, click the Save button. (Do not click the Open button.)
  3. Save the CSV file to the desired location on your computer.
  4. On the Download complete window, click the Close button. (Do not click the Open or Open Folder button.)
  5. Open Excel.
  6. On the File tab, click Open.
  7. Click the Files of type down arrow and select All Files.

Step 2: Import the data from the CSV file into Excel.

  1. Open the CSV file that you just saved to your computer.
  2. Click Delimited.

  3. Click the Next button.
  4. Uncheck the Tab checkbox and select the Comma checkbox.

  5. Click the Next button.
  6. Click the Finish button. The data appears in an Excel worksheet. (IMPORTANT! Even though the data looks like it’s in Excel format, it is not. The data is still in CSV format. You MUST save the data in Excel format.)

Step 3: Save the data in Excel format. 

  1. On the File tab, click Save As.
  2. In the File name field, enter a file name.
  3. Click the Save as type down arrow and select Excel Workbook. (This is the first option in the drop-down list.)

  4. Save the Excel file to the desired location on your computer.

Export a Report to a PDF File

Note: If you want to export a report to PDF and would like the PDF file to have bookmarks, then the report must have a Document Map. An example of a report with a Document Map is shown below. (To request a Document Map for a report, please contact the Information Systems Center at x2106.)

To export a report to PDF:

  1. After you run the report, click the Select a format down arrow and select Acrobat (PDF) file.

  3. On the File Download window, click the Save button.
