Overview

In the voice mail system, you create rules to transfer and forward calls. Rules can be set up based on a condition, such as the person calling, the time of day, your Outlook calendar status (e.g., free, tentative, busy, away), or if automatic replies are turned on.

If you don't create any call answering rules, then incoming callers are sent directly to your voice mail when you don't answer your phone.

Create a Rule to Transfer Your Calls Directly to Your Voice Mail Using Outlook

  1. Open Outlook on your office computer.
  2. On the File tab, click Manage Voice Mail.

  3. Log in to Outlook Web App.
  4. Click New Rule.

  5. Under Add Conditions, select the desired condition and specify any additional information needed for it.

  6. Click Save and Close.

Create a Rule to Transfer Your Calls Directly to Your Voice Mail Using Outlook Web App

  1. Log in to Outlook Web App. (Go to the Monmouth College home page and click Email in the upper-right corner of the page.)
  2. Click Options in the upper-right corner of the page and select See All Options.

  3. Click Phone on the left side of the page.
  4. Click New Rule.

  5. Under Add Conditions, select the desired condition and specify any additional information needed for it.

Create a Rule to Transfer Calls to Another Phone Number Using Outlook

  1. Open Outlook on your office computer.
  2. On the File tab, click Manage Voice Mail.

  4. Click New Rule.

  5. Under Add Conditions, select the desired condition and specify any additional information needed for it.

  6. Under Provide the caller with this menu, select Transfer the caller to...

  7. In the For field, enter the desired text (e.g., urgent matters).

  8. In the Phone number field, either enter an on-campus phone extension (e.g., 2106) or an off-campus phone number (e.g., 7-1-555-555-5555.)
  9. Click Apply.
  10. Click Save and Close.
