Monmouth College Hewes Library services

Interlibrary Loan  Rose Dillard, x2188, rose@monm.edu

Hewes Library's collections are targeted at the research needs of undergraduates in a liberal arts environment. As a consequence of this focus, some topics and disciplines are treated more comprehensively than others. Interlibrary Loan (ILL) offers our patrons access to materials from thousands of other libraries, public and academic, across the country and around the world.

ILL services are available to all Monmouth College, students, faculty and staff, and is free of charge in most cases. Patrons from outside the immediate Monmouth College community are encouraged to contact their local public library for ILL service.

How to request an item on ILL

  1. Identify all relevant citation information for the item. The more information you can provide, the easier it is to locate the correct item in a timely fashion
  2. Check Hewes Library to see whether or not we have local access to the item you desire. For books, search the Hewes Library Catalog; for articles, check out our Periodical Holdings List.
  3. Request your item using one of the following methods:
    • Online request forms are available for any articles found in certain online databases (Academic Search Premier and ERIC, for example).
    • Generic online request form is available by clicking here.
    • Generic printed request forms are available at the Reference Desk on the Library's Main Level; there is one for book materials and one for periodical materials.

Availability

Not all ILLs are equal: some items are more likely to be loaned between institutions than others. Factors may include:

  • Format: books and articles have the highest success rate. Some institutions do not lend reference books, videos or DVDs, microfilm, or archival materials.
  • Scarcity: the fewer copies of an item or journal, the less likely they will be shared on ILL. The WorldCat database provides information regarding the number of copies available.

If you are interested in receiving materials that may be scarce, please ask someone at the Circulation Desk for additional assistance.

Turnaround time

Time from request to receipt varies, based on item format, number of copies available, and the speed of the library that fills the request. Typically, 10 to 14 days are required before materials arrive. If you have requested an item that has not arrived after two weeks, please contact ILL Supervisor Rose Dillard (at x2188 or rose@monm.edu).

You will be contacted by email once an item has arrived and been processed. All items may be picked up at the Circulation Desk. Items will be held for seven days. Books not picked within seven days will be returned to the lending library; articles will be sent to the patron via via campus mail.

Borrowing periods, renewals and recalls

Borrowing periods vary depending upon the lending institution and the item format. Typically books are loaned for three to four weeks. The item's due date is printed on its paper sleeve. Please return the item before the date due, else loss of privileges may occur.

If you would like to renew your ILL item, contact ILL Supervisor Rose Dillard (at x2188 or rose@monm.edu). We cannot guarantee permission to renew the item; that is up to the lending library. Items that are overdue cannot be renewed and must be returned to Hewes Library.

Lending libraries can recall their items at any time. If you have an item that has been recalled by a lending library, it must be returned to Hewes Library immediately.

Note: photocopied articles are yours to keep unless otherwise noted

Other forms of document delivery

Some electronic databases provide articles by fax only. The Library acts as middleman in this process, absorbing all costs under most circumstances. Faxes will be sent to the Library fax machine at: (309) 457-2226. If you have requested an article that will be delivered to us, be sure to:

  • complete the request form with all necessary information
  • be sure to enter your name in the "Notes" field
  • contact the Circulation Desk at x2910, so that we can expect a fax
